This overview will review how to process a void or return using Wise Option's credit card PCI-compliant integration and complete this action via Wise Option.
A void does not incur any return fees and is available before the end of the same day of the transaction. The customer will not see the action on their credit card statement.
A return occurs if the funds are returned after the end of the same day as the transaction. This will incur return fees, and the customer will see both the initial transaction and the returned amount on their credit card statement.
Before beginning, make sure you have:
If you use the Credit Allocation feature, the payment MUST be de-allocated before performing a void or return.
Locate the Customer Account:
Go to the customer account for which you want to process the void or return.
Please note, if you use the Credit Allocation feature, the payment MUST be de-allocated before performing a void or return.
Open the Wallet:
From the customer account main page, go to the top right corner.
Click on the "Wallet" button.
View Credit Transactions:
From the digital wallet page, click "View Credit Transactions," located at the top right corner.
Adjust the date range as needed (e.g., "All dates," last 30 days, last 7 days).
Refresh the page to load transactions.
Find the Transaction:
Review the list of transactions to locate the one you want to void or return.
Initiate Void or Return:
Click on the transaction you wish to void or return.
Look for the button that either says "Void" or "Return" next to the print button, depending on the situation.
If the button says "Void," the transaction can still be canceled because the funds have not yet cleared. Click "Void" to cancel the transaction.
If the button says "Return," the transaction has already cleared, and you will process a refund to the customer. Click "Return" to process the refund.
Confirm and Send Receipt:
After clicking "Void" or "Return," you will be prompted to confirm your action.
Decide whether you want to send a receipt to the customer:
For voids, you may choose to send a void receipt to the customer.
For returns, you may want to send a return receipt to the customer.
Perform Partial Return (if applicable):
If you want to process a partial return (e.g., returning only $250 out of a $500 transaction):
Adjust the total return amount to the desired amount (e.g., $250).
Click "Partial Return" to process the partial refund.
Check Account Balance:
Once the void or return is complete, the customer account will be automatically adjusted to reflect the change.
Verify that the account balance is accurate and has been updated accordingly.
If using Credit Allocations, please ensure the return/void is allocated appropriately.
